Rapid Construction Solutions is seeking a Bid Coordinator to support our contracting team by identifying, vetting, and coordinating with contractors. This role involves organizing and managing the bidding process from start to finish, ensuring all required documentation is complete and submitted on time. The ideal candidate will have strong organizational skills, a keen eye for detail, and the ability to manage multiple projects in a fast-paced environment.
Key Responsibilities:
- Contractor Research & Outreach: Proactively identify potential contractors for projects by researching local and national databases, networking, and using industry contacts.
- Bid Management: Prepare, organize, and distribute bid packages to contractors, ensuring all requirements and deadlines are clearly communicated.
- Documentation & Paperwork: Handle all administrative tasks related to the bid process, including collecting, reviewing, and organizing all required documentation such as contracts, insurance certificates, and compliance forms.
- Bid Tracking & Reporting: Maintain accurate records of all bids, tracking their status from submission to acceptance and ensuring internal stakeholders are updated regularly.
- Coordination: Work closely with internal teams (e.g., project managers, procurement) to ensure all bid-related information is communicated effectively and deadlines are met.
- Vendor Relations: Build and maintain relationships with contractors and suppliers, acting as a point of contact throughout the bidding and contract negotiation process.
- Compliance: Ensure that all bid processes and contractor selections comply with industry standards, legal requirements, and company policies.
Qualifications:
Experience:
- 2+ years of experience in a similar role, preferably in the construction industry.
Skills:
- Strong communication and organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to manage multiple projects simultaneously.
- Attention to detail and ability to meet tight deadlines.
Knowledge:
- Familiarity with the construction bidding process and understanding of contractor selection criteria.
Education:
- Bachelor’s degree in business administration, Construction Management, or a related field preferred, but not required.
Working Conditions:
- Location: Office-based
- Schedule: Full-time, Monday through Friday. 8:00 am – 5:00 pm
